I want to inform you of some significant changes to the event planning process on campus, specifically when it comes to using rented stages, lighting structures, or generators. These changes are in response to stricter policies implemented by the City of Orange and require detailed safety assessments and coordination with relevant authorities.
Effective immediately, any university-sanctioned event involving externally rented stages, lighting structures, or generators will require advanced planning and adherence to the new policies set forth by the City of Orange. (This does not apply to staging platforms owned and assembled by the Chapman Facilities team.) The university will require a 60-day notice for such events to adhere to these policies. This will allow enough time to work closely with city officials, obtain necessary permits, and ensure that all safety protocols are meticulously followed. Furthermore, it is important to note that additional costs might be associated with permits and inspections, which event planners should be prepared for when organizing events with the specified equipment.

Our dedicated team of professionals can guide you through the process, address any concerns, and help streamline the planning stages. By collaborating with us well in advance, we can collectively ensure the smooth execution of your events while adhering to all city policies and regulations.
To initiate the process and request assistance from our team, please submit your event details through Chapman’s central scheduling system, 25Live, which will now ask specifically about the use of rented stages, lighting structures, and generators.
